Who is responsible

Sharp Hedges Tree & Garden Services is responsible for the personal information we collect to run our business (the data controller). Contact info@sharphedges.co.uk with questions about your information.

Information you give us

When you enquire by form, phone, email or WhatsApp, we receive the contact details and job information you choose to provide. The website quote form asks for your name, either a phone number or email address, a full UK postcode, the service and a description of the work. A street address, timing, reply, access and service-specific details are optional.

Photos and video are voluntary. Please only send material relevant to the job and avoid including people or personal information that we do not need. The enquiry record includes the page reported by the form and the time of submission.

Unfinished form recovery

Your browser can save an unfinished quote request on that device for up to 24 hours so an interruption or accidental navigation does not make you retype it. This local draft can include the details you have entered and the service answers you selected. It is removed after a successful submission, or when you next use the form after it expires. It is not sent to Sharp Hedges until you submit the form.

If sending is interrupted, a local retry record also preserves what was submitted so a retry does not create a different enquiry. Its copy of your details expires after 24 hours and is cleared when the form is next used. Only a one-way code and sending reference remain to stop an old, unconfirmed attempt being sent again as a new request.

After a successful send, a duplicate-prevention receipt contains a one-way code, not your contact details or message. It expires after 15 minutes and is removed when the form is next used. These records are only for form recovery and repeat-send protection, not tracking or analytics.

How we use it

We use your information to respond, prepare quotes, arrange visits and work, communicate about bookings and keep necessary business records. We also use limited technical information to protect the website and prevent abusive submissions. We do not sell personal information.

Our reasons for processing information are taking steps at your request before a contract and carrying out agreed work; our legitimate interests in handling enquiries, running the business and securing the website; and legal obligations where business or tax records must be kept.

Website and enquiry providers

Our Astro website is hosted by Hostinger. The contact form sends your enquiry to a Cloudflare Worker. Cloudflare Turnstile checks submissions to help prevent spam and abuse; this can involve technical information such as your IP address, browser and device information. Turnstile loads when you approach or interact with the form.

After Cloudflare accepts a submission, the existing enquiry email is sent through Resend and the same structured enquiry is passed privately into Sharp Hedges Jobs. Jobs stores it as an enquiry—not an accepted job—so staff can view the supplied contact, property, service, description, optional answers, media and source context without retyping them. Resend also sends a short receipt if you supplied an email address. The receipt is not a booking or marketing email.

Where the browser genuinely knows them, the enquiry can retain the landing page, an external referring page, UTM campaign fields and recognised advertising click identifiers. We do not invent missing attribution or use these fields to follow you across unrelated enquiries.

These hosting, security, storage and email providers process information as needed to provide their services. If you choose WhatsApp or Google review links, those services handle that interaction under their own privacy policies. Providers may process information outside the UK. Their processing locations and applicable transfer arrangements are described in their privacy information: Hostinger, Cloudflare, Resend and Google.

Postcode and area checks

When you complete a valid postcode in the quote form, or select Check my area in the separate area checker, your browser sends that postcode or town directly to Postcodes.io to find its approximate location and, where reliable, the town. The service also receives technical connection information such as your IP address. The lookup does not send your name, phone number, email, job description or uploaded files.

The quote-form check runs as soon as a full postcode is completed, when the field loses focus or when a valid saved draft is recovered. Sharp Hedges does not separately store lookup searches or send them to analytics. A lookup does not itself submit an enquiry, and an unavailable or uncertain result never prevents an enquiry. Some nearby town locations are saved with the website for use if the service is unavailable. Northern Ireland postcodes use a personal-enquiry fallback.

Optional protected-tree helper

When you select Find my council, the helper sends your postcode to Postcodes.io. For an English postcode, it sends the returned approximate coordinates to MHCLG Planning Data to find the planning authority. Where reviewed council-supplied data is suitable, it also checks for nearby tree records and conservation-area information using coordinates, not your postcode. Both services receive connection information such as your IP address. Requests omit cookies and the referring page.

Sharp Hedges does not save these searches, send locations or results to analytics, or copy them into an enquiry. Results remain in page memory and are cleared when you leave. No lookup happens while typing. You can use the council links or make an enquiry without running a check. Following an official source link opens that service, which has its own privacy practices.

Optional photos and video

Where the upload option is available, files first enter the private contact-form Cloudflare R2 storage so we can accept and deliver the enquiry. They are not published in a public gallery. Enquiry emails contain private links with a seven-day viewing period; anyone who has a valid link can view that file during this period.

This temporary contact-form copy has an intended retention of up to 30 days, including abandoned uploads. Its storage lifecycle deletes files after 30 days; deletion runs asynchronously, so final removal may take a little longer. The seven-day link expiry is separate from storage deletion.

For a successfully submitted enquiry, a separate private copy can be retained with the operational enquiry in Sharp Hedges Jobs. That staff-only Jobs media record is not covered by the contact bucket’s automatic 30-day deletion and is kept only as long as needed for quoting, arranging or carrying out work and maintaining necessary business records. It is not exposed through a customer-facing Jobs media URL. Media sent by email or WhatsApp is handled through those channels.

Website contact totals

We count accepted website enquiries and clicks on our Call, WhatsApp and Email links to understand which pages help people contact us. A click does not tell us whether a call or message was completed. We keep daily totals by website page and contact type; enquiry totals can also include the service selected in the form.

These aggregate totals do not contain names, phone numbers, email addresses, towns or postcodes entered in the form, job descriptions, photos, IP addresses, browser information, visitor identifiers, search terms or external referring pages. The separate enquiry business record can contain the source context described above. We do not use advertising or analytics cookies. Brief technical records prevent the same accepted enquiry being counted twice; they do not identify a visitor across enquiries.

Cloudflare stores these totals for up to 400 days and Resend sends us a weekly summary. Temporary duplicate-prevention records expire after one day and are removed by a daily cleanup. Hosting and security providers still process connection information needed to deliver and protect their services. Turnstile is used for security, not advertising measurement.

How long we keep records

We keep enquiry and contact information for as long as needed to respond, arrange and carry out work, handle follow-up questions and maintain necessary business, legal or tax records. The period depends on the purpose of the record. Temporary form uploads have the separate lifecycle described above.

Your rights and questions

Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to processing, or request a portable copy. Some records may need to be retained to meet legal obligations.
